ACCOUNTS RECEIVABLE COORDINATOR

Producers of iconic brands such as Freakshow, Petite Petit and Earthquake, Michael David Winery is a tour de force as one of the leading wineries in the United States, distributing nationwide and in more than 30 countries. Brothers Michael and David Phillips are 5th generation grape growers whose family has cultivated wine grapes in the Lodi region for nearly a century. Founded in 1984 with little more than an old barn, a used press and a few barrels on a dirt floor, the Phillips brothers released their first commercial wine under the Phillips Vineyards label after years of growing grapes for other wineries. Now celebrating over 35 years as a bonded winery, Michael David Winery has over 800 acres of vineyards in the Lodi Appellation and prides itself on being family owned and operated while practicing meticulous farming and sustainable wine grape growing, resulting in superior quality in the bottle. 

Summary: The finance team works with all departments at Michael David to analyze and guide how we deploy our resources and capital. The team strives to make complex decisions simple and clear based on a deep understanding of our growth levers and where resource allocation can accelerate our efforts.

Reporting to the Accounting Operations Manager, and working closely with sales, marketing, and production teams, the AR coordinator will support core finance and accounting processes from order entry to cash collection to inventory. This non-exempt position includes understanding the flow of wine from bottling to sale; processing domestic and export wine orders; monitoring bottlings, and reconciling inventory monthly; awareness of applicable wine compliance regulations; works with other departments to facilitate bottling, inventory, and sales activities.

Essential Duties and Responsibilities:

  • Oversee the AR process from order to cash.
  • Prepares, posts, verifies, and records customer payments and transactions for wholesale, export, and DTC channels.
  • Maintains documentation supporting orders, particularly export processes.
  • Ensures all ordering and shipping is compliant with applicable wine regulations; works closely with compliance team to ensure adherence to applicable regulations.
  • Initiate and manage the collections process to ensure timely receipt of payments, including posting and application of payments and reconciliation of customer accounts.
  • Manages case goods inventory, reconciles monthly across all locations, and ensures accuracy of inventory counts.
  • Monitor customer accounts, identify overdue payments, and implement effective strategies to minimize outstanding receivables.
  • Collaborate with relevant departments to ensure accurate and timely invoicing of customers.
  • Collaborate with multiple departments on inventory movement and logistics, bottlings, and special projects.
  • Collaborate with sales organization to ensure accurate pricing.
  • Ensure revenue recognition per accounting standards under ASC606.
  • Perform timely and accurate monthly, quarterly, and annual close processes.
  • Assist in defining, implementing, and improving internal controls, accounting policies, and procedures.
  • Contribute to system implementation/enhancements affecting accounting operations and financial reporting.
  • Support the annual financial audit (and any other audits), including responding to audit inquiries and preparation of supporting audit schedules.
  • Support business teams on ad-hoc analysis and projects.

Qualifications:

  • Bachelor’s degree in relevant field or 4 to 5 years related experience may be substituted for education requirement. General knowledge of the wine or alcohol beverage industry a plus. Knowledge of alcohol regulations desired.
  • Possess exceptional organizational, analytical, and computer skills. Also impeccable attention to detail.
  • Ability to communicate English in written and verbal form (Spanish helpful): 
  • Strong computer knowledge of Microsoft Office, particularly Excel
  • Experience with Wine Direct and Microsoft NAV systems is a plus.
  • Able to easily multi-task in a fast paced, periodically stressful environment.

• Ability to add, subtract, multiply, divide, and calculate percentages. 

• Must possess and maintain a valid driver’s license and proof of current insurance. 

• Regularly required to sit for prolonged periods.

  • Lift up to 40 pounds.
  • Working conditions include internal and external work in all types of weather environments. 
  • Able to work weekly schedule; work overtime, weekends and holidays as needed.
